Pricing & billing

The $19.99 base plan includes every core feature and capacity for up to 5 active tenants. Email Sync and QuickBooks Sync are optional paid add-ons.
Only active tenants use purchased capacity. Choose a whole number from 1 to 1,000,000. Core pricing is $19.99/mo for up to 5 active tenants, plus $1.50 each for tenants 6-20 and $0.75 each after 20. Inactive and historical tenant records remain accessible without using capacity.
Annual billing is 20% less than paying monthly for 12 months. For Core alone, annual online billing is available through 138,852 active tenants. Paid add-ons can lower this maximum because the checkout limit applies to the total. Higher capacities use monthly billing. You pay once per year, and the annual charge is rounded once to the nearest cent.
There is no setup fee. Monthly plans renew month to month, while annual plans are billed upfront for the year in exchange for the 20% discount.
Yes. Plans renew automatically until you cancel. Cancelling a monthly plan stops the next monthly renewal, and cancelling an annual plan stops renewal at the end of the prepaid term. Contact support before canceling if you have questions about account access or data retention.
The base plan includes 1 GB of pooled storage. Storage is separate from active-tenant capacity and does not increase automatically when you select more tenants.

Portals & people

No. Tenant and vendor portal access is included with your landlord account, so the people you invite do not need a separate subscription.
No. The tenant portal works in a web browser. Tenants can sign in, submit repair requests with photos, check the current status, and view documents or notices you share with them.

Data & security

Rentals369 uses secure production connections, access controls tied to role and company, authorization checks for private files, and structured audit logs. Selected contact data and sensitive Email Sync content use application-level encryption, and two-factor authentication is required by default in production-like environments.
Access is tied to role and company. Tenants see their own portal records and the documents shared with them. Vendors see assigned work. Landlord and manager access follows company and role permissions.
Yes, in a few specific places. Optional AI features can summarize synced tenant emails, suggest maintenance requests from incoming messages, and help draft notices and replies. They run on infrastructure Rentals369 controls, your data is never sold or used to train generalized AI models, and anything AI drafts waits for your review before it goes out. The privacy policy has the details.

Integrations

Yes, through the optional QuickBooks Sync add-on. With an active add-on and connected QuickBooks Online account, supported workflows can send selected Rentals369 records to QuickBooks Online. Available features depend on the plan and connection state.
With an active Email Sync add-on, you can connect a supported inbox and bring relevant tenant emails and attachments into Rentals369 for mailbox and maintenance workflows. Plans start at $15.99/mo per inbox.

Getting started
